Project Type: Data Centre – Germany

Scope of Work: 

  • Overall responsibility: Managing, controlling and ensuring all documentation of a project meets the formal requirements and standards; preparing the DMS platform for documentation.
  • Main tasks include: Setting up a standard folder structure; administering the DMS platform; checking compliance and quality of documents; maintaining the register of documents; distributing documents to the relevant team members; ensuring safety and confidentiality of documents; daily management of documentation at every stage of its lifecycle; reporting of progress; ensuring the correct workflow; cooperation and support of contractors; preparing close-out and handover of documentation. 

Challenge: 

  • In my work, I continuously encounter wrong numbering and identification of documents. This leads to extensive confusion and disorganisation, delays in the project and even safety incidents (when a team members carries out work using the wrong drawing). 

Action Taken: 

  • Incorrect document data or no identification is rejected and returned to the contractor for revision. 

Impact: 

  • Document Controllers are a critical part of the project process, ensuring that all employees can trust the documents they use on a daily basis in their work.
  • Strict controls are put in place by the PTS document control team, which helps reduce the risk to our clients, save money and lower the number of safety incidents.
